Complete guide to creating and managing events
Events are what you're selling tickets for - concerts, conferences, workshops, festivals, or any gathering where people need tickets.
What is an Event?
An event is anything that:
- Happens at a specific date and time
- Has a location (physical or virtual)
- Requires tickets or registration
- Needs attendance tracking

Creating an Event
Basic Information
Start with the essentials:
Event Name
The title of your event:
- Clear and descriptive
- Tells people what it is
- Good for search results
Naming Best Practices
- ✅ "Summer Music Festival 2024"
- ✅ "Digital Marketing Workshop"
- ❌ "Event 1" (too vague)
Description
Tell people about your event:
- What is it?
- Who is it for?
- What will happen?
- Why should they attend?
Pro Tip
Write at least a few sentences. More detail helps sell tickets!
Location
Where is your event?
- Start typing an address
- Select from suggestions (powered by Google Maps)
- The system saves the full address and map coordinates
Virtual Events
- Enter "Online" or "Virtual Event"
- Add meeting link in description
Date and Time
When is your event happening?
Start Date and Time
- Pick the date from calendar
- Enter time in 24-hour format (e.g., 14:30 for 2:30 PM)
- Choose your timezone
End Date and Time (Optional)
For multi-day events:
- Set the last day
- Add end time if needed
Examples
- Single day: Start only
- Conference: Start Friday, End Sunday
- Festival: Start June 15, End June 17
Event Image
Upload a cover image:
- This is the main image people see
- Shows on event page and listings
- Makes your event attractive
Image Tips
- Use high quality (at least 1200x630 pixels)
- Show what the event is about
- Include event name if possible
- JPG or PNG format
Event URL
Create a unique web address:
Format: cowtic.com/e/your-event-slug
Important Rules
- Only lowercase letters, numbers, and hyphens
- Must be unique
- Can't be changed after creation
Examples:
- "Summer Music Festival" →
summer-music-festival-2024 - "Tech Conference" →
tech-conference-berlin
Currency
Choose the currency for your event:
- CHF (Swiss Franc)
- EUR (Euro)
Important
All tickets will use this currency. You can't change it after people start buying tickets.
Add Tickets
Create ticket types for your event. See the Tickets Guide for details.
You need at least one ticket type. You can add:
- Free tickets
- Paid tickets
- Multiple ticket types (Early Bird, VIP, etc.)
Publish
When everything is ready:
- Review all details
- Click "Publish Event"
- Your event goes live!
Before Publishing Checklist
- ✅ All required fields filled
- ✅ Cover image uploaded
- ✅ At least one ticket created
- ✅ Payment connected (for paid tickets)
Event Status
Your event can have different statuses:
- You're still working on it
- Not visible to public
- You can edit everything
- No tickets can be sold
- Live and visible to everyone
- Tickets can be purchased
- Event page is active
- Appears in listings
- All tickets are sold
- Event page still visible
- "Sold Out" badge shown
- No more purchases possible
- Event date has passed
- No longer accepting orders
- Still visible for reference
- Event was cancelled
- Clearly marked as cancelled
- Refunds can be processed
Managing Your Event
Event Dashboard
After creating an event, access your dashboard:
What You'll See:
- Total tickets sold
- Revenue earned
- Number of orders
- Page views
- Check-in statistics
Editing Your Event
To make changes:
- Go to Dashboard → Events
- Click on your event
- Click "Edit Event"
- Make your changes
- Click "Save"
What You Can Change:
- Event details (name, description, location)
- Date and time
- Cover image
- Ticket availability
- Event status
What You Can't Change:
- Event URL slug
- Currency (after orders exist)
Viewing Your Event Page
See how customers see your event:
- Go to your event dashboard
- Click "View Event Page"
- Opens the public event page
This is what customers see when they want to buy tickets.
Event Visibility
Public Events
Anyone can find and view:
- Appears in event listings
- Shows up in search
- Anyone can buy tickets
- Shareable link
Best for:
- Public concerts
- Open conferences
- Community events
- Festivals
Private Events
When you set an event to private (isPublic off):
- It does not appear in public browse listings
- Customers need a private link with a secret parameter to view and buy tickets
- Generate or copy the access secret from the event form or event detail page
Private link format: cowtic.com/e/your-event-slug?secret=YOUR_SECRET
Share the full link with invitees. They do not enter a code on a separate screen — the secret is part of the URL.
Event Features
Sponsors
Add sponsor logos in the event form under Sponsors:
- Open Edit event
- Add sponsor name and logo
- Set display order
Sponsors appear on:
- Event page
- Tickets
- Confirmation emails
Tracking Pixels
In the event form, add tracking under Tracking pixels:
- Meta Pixel ID
- Google Analytics ID
- Google Tag Manager ID
- Custom script snippets
These fire on the public event and checkout pages so you can measure campaigns in your external analytics tools.

Collect extra information at checkout (dietary requirements, t-shirt size, and so on). See Custom Forms.

After creating an event, open it from Events to manage:

Conference with Multiple Ticket Types
Create different access levels:
- Early Bird (limited time, lower price)
- Regular Admission
- VIP (includes extras)
- Student (discounted)
Multi-Day Festival
Set up for multiple days:
- Start date: Friday
- End date: Sunday
- Create day passes and weekend passes
- Different prices for each
Workshop Series
Create separate events or:
- Single event with multiple dates
- Tickets valid for specific sessions
- Bundle pricing available
Free Community Event
No payment needed:
- Set ticket price to CHF 0
- Still tracks registrations
- Sends confirmation emails
- Manages check-in
Troubleshooting
Can't Publish Event
Problem: "Payment credentials required" error
Solution: Connect zahls.ch on the Payments page before publishing events with paid tickets.
Event URL Already Taken
Problem: "Event URL taken" error
Solution: Choose a different, unique slug. Try adding year or location.
Tickets Not Showing
Problem: Customers can't see tickets
Solution: Check that:
- Event is published
- Tickets are active
- Sale dates are correct
- Inventory is available

- Monitor ticket sales daily
